Mailchimp marketing sync.

Two separate Mailchimp integrations โ€” a Marketing API that syncs bidder opt-ins to your audience, and an SMTP relay for transactional emails โ€” plus the full setup steps, how it works for bidders, and how to resolve the most common problems.

Locating the Mailchimp settings

The control panel lives in your seller dashboard.

You'll find this control panel in your seller dashboard. Go to Settings โ€บ Subscribe Settings.

Step-by-step connection

Work down the page in order โ€” each field unlocks the next part of the form.

SETUP

Enter your API key
The first field is labeled API KEY โ€” the master key that lets Bidsquare communicate with your Mailchimp account. Generate it in Mailchimp (usually under your Account profile โ€บ Extras โ€บ API keys) and paste it directly into this field.

Enter your Callback Secret Key
A password of your own making, used by Mailchimp to securely send information back to your Bidsquare site (for example, when someone unsubscribes directly from a Mailchimp email). Enter a secure, memorable phrase โ€” you'll reuse it when you create the webhook below.

Select your subscriber list
After entering a valid API key, the Subscriber List dropdown automatically populates with all the audiences from your Mailchimp account. Select the audience you want new subscribers added to.

Fetch your categories
Once a list is selected, click Fetch. This tells Bidsquare to pull all the Interest Categories (or "Groups") you've set up for that audience.

Map your categories
Two columns of checkboxes appear:
Default Subscribe โ€” the interest groups every new subscriber is added to automatically, without checking a box (e.g. a "General Newsletter" group).
Options shown for users โ€” the groups presented as choices to your bidders on the sign-up form. You can also give each a friendly display name in the text box beside it (e.g. show FINART_Q4_2024 as "Fine Art Updates").

Set the status to Active
Use the Status dropdown to set the connection to Active.

Submit and save
Click Submit at the bottom of the page to save your configuration and connect your Bidsquare site to Mailchimp.

An incomplete connection saves as Inactive

If you haven't selected a subscriber list or mapped any categories under "Options shown for users", the system automatically sets the status to Inactive when you save, because the connection is incomplete.

Create the Mailchimp webhook

This lets Mailchimp notify Bidsquare when contacts change โ€” for example, when someone unsubscribes.

Open Webhooks in Mailchimp
Go to Contacts โ€บ Audience Settings โ€บ Webhooks.

Select the correct mailing list
Choose the audience you're configuring for Bidsquare from the dropdown.

Create the webhook
Click Create Webhook (if you haven't already) and enter the webhook URL below, replacing MY_SECRET_KEY with the actual Callback Secret Key you created in Step 2:

How the integration works in detail

What "categories" and "interests" mean, and what happens when a bidder opts in.

REFERENCE

Bidsquare uses the Mailchimp API to interact with Interest Categories and the Interests within them.

  • Interest Category โ€” a grouping in Mailchimp, such as "Art Styles" or "Collecting Fields".
  • Interest โ€” a specific choice within that category, such as "Modern Art", "Impressionism" or "Antique Furniture".

When you click Fetch, Bidsquare asks Mailchimp for all the Interest Categories and the Interests inside them for the selected audience.

  • The Default Subscribe checkboxes set which interests are pre-ticked on the opt-in options a bidder sees in their My Account area.
  • The Options shown for users checkboxes and text fields build the opt-in options shown in each bidder's My Account area โ€” a custom version of your Mailchimp groups for bidders to choose from.
  • When a bidder opts in from their My Account area and selects their interests, Bidsquare sends their email and chosen interests to Mailchimp against the groups you mapped.

What this integration is โ€” and isn't

Understand the scope before you configure anything.

Bidsquare has two separate integrations with Mailchimp services. They do different things, require different setups, and are often confused with each other.

1 ยท Mailchimp Marketing API

Connects your bidder accounts to a Mailchimp audience. Bidders opt in to interest groups from their My Account โ€บ My Alerts page. Bidsquare syncs name, email, and their chosen opt-ins to Mailchimp approximately every 24 hours.

This is what this guide covers.

2 ยท Mailchimp Transactional (SMTP)

Routes your system's transactional emails (invoices, registration approvals, outbid notices) through Mailchimp's sending infrastructure so they arrive from your own domain address.

Covered in the SMTP Email Relay guide. Requires a separate paid add-on.

What the Marketing API sync passes to Mailchimp

The sync passes name, email address, and the interest opt-ins each bidder has selected in My Alerts. That's it. It does not pass addresses, phone numbers, purchase history, bid history, consignment data, watchlist items, or any transactional information. It is a marketing segmentation tool, not a full CRM sync.

Mailchimp merges records by email address โ€” it does not create duplicates or overwrite existing contact data for fields Bidsquare doesn't send.

How it works for bidders

Where interest options appear โ€” and where they don't.

Once the connection is active, bidders manage their Mailchimp opt-ins from inside their account on your site. There is no opt-in step during the standard registration or signup flow.

Bidder registers on your site
Standard registration โ€” name, email, address, credit card. No interest options appear at this stage.

Bidder logs in and opens My Account
After registration, the bidder navigates to My Account โ€บ My Alerts. This is where the interest categories you mapped in the connection settings appear as selectable options.

Bidder selects their interests
They tick the categories they want to receive updates for. Their selections are sent to your Mailchimp audience on the next sync cycle (approximately every 24 hours).

Interest options don't appear in the signup flow by default

The "Options shown for users" field in your connection settings controls what appears in My Account โ€บ My Alerts โ€” not the registration or newsletter signup form. A bidder who registers but never visits My Alerts will be added to your Mailchimp audience with any Default Subscribe groups applied, but with no individual interest selections.

A basic "add me to your mailing list" option in the signup flow is possible as a custom addition to White-Label sites, subject to scoping and may be chargeable. Speak to your Bidsquare account manager if this is a requirement.

Common problems

The issues that come up most often during and after setup.

Connection saves as Inactive
The most common setup issue. The system sets the connection to Inactive automatically if you haven't selected a Subscriber List and mapped at least one category under "Options shown for users". Both must be set before the connection can activate. Check both fields and re-submit.

Subscriber List dropdown is empty after entering the API key
The API key is either invalid or doesn't have the correct permissions. In Mailchimp, go to Account โ€บ Extras โ€บ API keys and check the key is active. Generate a new one if unsure โ€” API keys can be revoked in Mailchimp without warning.

Interest options aren't visible to bidders
Check that (a) the connection Status is set to Active, (b) at least one category is checked under "Options shown for users", and (c) the bidder is looking in My Account โ€บ My Alerts โ€” not the registration or signup form.

Bidder opted in but isn't appearing in Mailchimp
The sync runs approximately every 24 hours โ€” it is not immediate. If the bidder opted in recently, wait and check again the following day. If they still don't appear, confirm the webhook is configured correctly so Mailchimp can send unsubscribe events back to Bidsquare.

Webhook URL isn't working
The secret key in the webhook URL must exactly match the Callback Secret Key you entered in Bidsquare. They are case-sensitive. Re-copy the key from Settings โ€บ Subscribe Settings and rebuild the webhook URL: https://www.bidsquare.com/callback/mailchimpWebhook?secret_key=YOUR_KEY
