Every list in the admin has a gear icon (โš™) top-right. It controls which columns you see on screen AND what appears in CSV exports โ€” independently. You can now create multiple named templates per screen (e.g. "Sale day desk", "Finance export", "Photography list") and share any template across the whole team. One setup, everyone benefits.

An incorrect time zone in Settings โ†’ Account Settings means every bidder on every platform sees wrong auction start times. Verify it before every sale โ€” and especially around daylight saving changes.

Before creating a new consignor, user, or consignment โ€” search first. Duplicate records are the leading cause of split settlement histories, confusing invoice records, and reporting headaches. Two minutes searching saves hours of cleanup.

When a bidder says 'I can't see my invoice' or 'I can't register,' go to Users โ†’ find their account โ†’ click Impersonate. You'll see your website exactly as they do. 90% of support queries resolve in under 60 seconds this way. 'I can't see my invoice' almost always means the invoice was generated but never sent โ€” New status is invisible to buyers.

The Buyer's Premium and Bid Increment fields on the auction creation form should stay empty for 95% of auctions. Your global defaults apply automatically. Filling them creates a per-event override that's easy to set wrong and hard to notice until invoices are generated incorrectly.

The event URL is a marketing asset โ€” use it from day one

Every auction gets a permanent URL the moment it's created. It never changes when you edit the title, update the description, or change the date. Include it in printed mailers, email campaigns, and social posts the day you create the auction โ€” even if the catalog isn't ready for months. Start promoting upcoming sales earlier than you think you need to.

Set up Default Pre-Filled templates for Description and Condition

Settings โ†’ Auction Settings โ†’ Default Pre-Filled. Create a structured boilerplate that catalogers fill in rather than starting from scratch. A Condition template with sections for 'Overall Condition:', 'Specific Notes:', 'Provenance:', 'Dimensions:' produces more consistent catalog copy, speeds up cataloging significantly, and reduces published items with missing fields.

Never upload user accounts before your website is live

Uploading users before your white-label website is launched can create accounts on Bidsquare.com rather than your own site. Users receive account emails but cannot find their accounts on your website. Always confirm the website connection is active before running any bulk user upload.

When a truck arrives, upload a CSV with placeholder titles only to create barcode records. Print all labels. Stick them on items as they come off the truck. Later, scan each barcode to instantly pull up the record and add details. Zero ambiguity about which item is which.

Use AI for categories, rewrite the descriptions
AI Auto-Catalog's category suggestions are accurate the majority of the time โ€” accept them quickly. AI descriptions are a starting point only. Always rewrite them: add specific measurements, maker details, provenance observations. Pure AI text hurts SEO and may misidentify materials.

Click any image thumbnail on an item form โ€” it opens in a draggable, zoomable floating panel. You can scroll down to write detailed Condition notes while keeping the high-res image visible. No more scrolling back and forth between the photo and the text field.

When uploading items via CSV, include the ConsignmentId column with the system-generated number (not the name โ€” the number). Items route to the correct consignment without manual assignment. Check the consignment number in the Consignments list before building your CSV.

After publishing an auction, print QR Code Display Labels for preview day. A bidder who scans a label sees the full lot description, images, estimate, and a Bid Now button โ€” right there in the room. Preview day becomes a pre-bidding opportunity.

'Update Only' for bulk catalog edits
Check 'Update Only' when uploading a CSV to update existing items without creating new records. Only columns you include are updated โ€” omitted columns remain unchanged. Safe for changing estimates, adding conditions, or updating categories across hundreds of existing lots.

Better photos = dramatically better AI results

Photograph items against a neutral background in good light with multiple angles โ€” overall front, back, any maker's marks, signatures, hallmarks, damage, and identifying inscriptions. The difference in AI output quality between a single dark photo on a cluttered surface and a well-lit multi-angle set is night and day.

Image naming convention: [identifier]_[sequence].jpg

For bulk image uploads, name files as LotNumber_sequence.jpg โ€” e.g. 101_1.jpg (Lot 101, first image), 101_2.jpg (second image). The number after the underscore controls display order. If items don't have lot numbers yet, use the system Item ID as the identifier instead โ€” it never changes regardless of how many times the item moves between auctions.

Catalog in one auction, then split for multi-day sales

When building a multi-day sale, do all cataloging in a single auction event first. Once complete, batch-move the Day 2 lots to the second event (Batch Actions โ†’ Move or Remove Items from Sale โ†’ Reassign and Move) and assign lot numbers there. All images, descriptions, and consignment data travel with the items.

Column headers are case-sensitive โ€” LotName works, lotname does not

The most common CSV upload failure: a space after a column name, or wrong capitalisation. Always download the latest template and use its exact header row โ€” don't type column names from memory or copy them from a previously modified file.

Settlements don't auto-update when invoices are paid
If a buyer's invoice is paid after you've already generated a settlement for that lot, the settlement amount does not change. Regenerate it, or adjust manually. Wait until key invoices are paid before generating final settlements wherever possible.

Sales โ†’ Invoices โ†’ [invoice] โ†’ Packing Slip generates a document showing lot number, image, name and quantity โ€” with zero pricing. Send this to porters and shipping teams. No warehouse staff seeing sale prices; no pricing information travelling inside shipped packages.

1) Confirm all buyer invoices are Paid or final. In the Settlements list: Red dollar red dollar = lots with unpaid buyer invoices. Yellow gavel yellow gavel = unsold lots included. Review these cues before mass-sending settlement batches so you're not caught off-guard by a consignor question about a below-reserve sale.

QuickBooks mapping: get your accountant in the room for setup

The QuickBooks integration is only as good as its account mapping. Incorrect mapping โ€” Buyer's Premium posting to the wrong income account โ€” creates accounting errors difficult to reverse at scale. Have your QuickBooks chart of accounts open on screen during setup. Do a test sync against a completed auction before enabling live Production sync.

Invoice reminder emails have no per-individual stop

Automated invoice reminders stop only when the invoice balance reaches zero. There is no per-bidder 'stop reminders' button. Add 'If you have already arranged payment with us, please disregard this reminder' to your reminder email template to pre-empt calls from buyers who have paid by cheque but the payment hasn't been recorded yet.

Blue card icon = $1 pre-auth successful โ€” card valid, billing address matches. Grey = hold failed or card never submitted. Never approve a grey-card bidder for a high-value auction without a phone call or manual verification. This is your most basic fraud prevention step.

Phone operators must be designated before you register phone bidders
The Phone Operator dropdown in bidder registration only shows staff who have the Phone Operator checkbox enabled in Settings โ†’ Manage Staff. If your phone clerk's name isn't appearing, go to their staff account and enable that checkbox first.

Absentee bids survive the Undo button
If you use Undo Last Bid during the auction to roll back to the start of a lot, any online max absentee bids are automatically reinstated. They are not lost. Roll back freely โ€” absentee bids always come back.

A Bad Bidder flag is visible to every auction house in the Bidsquare network. Use it only for confirmed serious issues: non-payment, fraud, chargebacks, deliberate misconduct. Resolve flags promptly when issues are cleared.

Encourage bidders to enable Auto-Register โ€” one of the best retention tools you have

In My Account โ†’ Account Settings, bidders can enable 'Auto-Register for Future Auctions.' When enabled, they're automatically registered and auto-approved for every new auction you publish. Include a line in your post-auction thank-you email: 'Register once for all future auctions โ€” visit My Account โ†’ Settings to enable auto-registration.' 10 seconds for the bidder; significant workload reduction for your team.

When testing bidder registration in Demo, use Stripe's test card: 4242 4242 4242 4242, any future expiry, any CVC, any zip. This produces the blue card icon without charging a real card. Important: this only works if your Demo payment gateway is connected to Stripe's test environment.

The Live Console tab only activates 30 minutes before the auction's scheduled start. If the tab is greyed out during a practice session, edit the auction start time to be 25โ€“30 minutes from now and reload. This is the most common first-time access problem.

When a floor/platform bid and an online max absentee bid are at the same level, a purple button appears. Click it to swap the current floor/platform bid for the online bidder's max absentee. Your own website bidder wins instead of the LA bidder โ€” at the same price. You avoid platform commission and strengthen your direct bidder relationship.

Auto Accept Online: OFF unless it's pure online-only
If you have even one floor or phone bidder registered, keep Auto Accept Online OFF. With it ON, the system automatically accepts all online bids โ€” removing your ability to prioritize a floor bid. This cannot be undone mid-lot.

Two people running the auction is better than one
Assign a second staff member to monitor Lots & Items in a separate browser window. Configure their view (โš™) to show Image, Lot Number, Title, and Bidder. When they spot an error, they click the pencil icon and correct it silently โ€” zero disruption to the auctioneer.

Error correction priority: Undo โ†’ Background โ†’ Reopen
Undo Last Bid is the first resort โ€” invisible to bidders, works cleanly. Background correction via Lots & Items is the second resort โ€” still invisible. Reopening a lot is the last resort โ€” visible to every online bidder. Use Reopen only for errors that genuinely cannot be fixed the other two ways.

Print the Auctioneer Report before every sale
Open the Auctioneer menu top-right and print the Auctioneer Report before clicking Start Auction. This shows every lot with its starting bid, estimates, any offline absentee bids, and phone bidder assignments. The auctioneer knows at a glance which lots have phone interest before opening bidding.

A/V streaming: always use a dedicated separate device

Never run the Live Console and your video streaming feed on the same machine. Streaming consumes significant CPU and causes console lag โ€” missed bids, delayed bid acceptance, erratic lot closing behavior. Even an older dedicated laptop prevents this entirely. If you only have one machine, skip the video stream rather than risk console performance.

Build your pre-canned message library before your first sale

In the Live Center (right panel of the console), create one-click message templates before the auction starts. Suggested: 'Welcome! Auction starting shortly', 'We're taking a 10-minute break โ€” back soon', 'Thank you for bidding โ€” invoices will be sent within 24 hours.' These persist across all future auctions.

Only ONE person should have the Live Console open

Multiple simultaneous users in the Live Console cause data conflicts and technical errors โ€” including duplicate bids and incorrect hammer prices. Designate one console operator and ensure all other staff know to stay out of that tab for the duration. Have the second person work in Lots & Items for background corrections instead.

Date-stamp important notes on consignor profiles
Staff notes on consignor profiles are your institutional memory. Add manual date stamps: 'April 2026 โ€” agreed 15% rate for all future estates'. These notes are invisible to consignors and help new team members understand long-standing relationships.

Estates: Payee Name is not the Consignor Name
For estate sales, set the Consignor Name as the estate and the Payee Name as whoever actually receives the cheque โ€” the attorney, the trust, or a specific beneficiary. The Payee Name is what appears on cheques and settlement documents. Getting this wrong creates cheque processing problems.

Many consignors already have bidder accounts. The Link Existing User field searches for existing accounts โ€” selecting one auto-fills the form and creates a unified buyer-and-seller record. Skipping this creates duplicate profiles that split their history.

Promote the Consign With Us form โ€” it's your inbound consignment pipeline

Every pre-registration auction page automatically includes a Consign With Us tab. Potential consignors submit items directly โ€” no phone call, no email, no friction. Include a link in every outbound email and social post with copy like 'Have items to sell? Submit your consignment inquiry online โ†’'. It works 24/7 and captures interest you'd otherwise miss.

Create separate commission rules for every exception โ€” never edit the default

The most common commission mistake: editing the default rule to give a VIP consignor a better rate. This changes the rate for every new consignment being created. Instead, create dedicated rules: 'VIP Flat 10%', 'Dealer 12%'. Staff select the correct rule during consignment creation. One clean default; exceptions explicitly named.

Under Bidder Report: fastest path to post-sale consignor satisfaction

After every sale, run Reports โ†’ Under Bidder Report. It shows the highest non-winning bidder for every lot โ€” including unsold lots. For any item that passed unsold, you know exactly who wanted it most. Contact them with a direct second-chance purchase offer. This converts a significant percentage of unsold lots into sales without re-cataloging.

The consignor portal shows items immediately โ€” even before the catalog is published

As soon as items are added to a consignment, they become visible in the consignor's portal if Consignor Login is enabled. Only enable Consignor Login after item cataloging is complete and any consignor conversations about lot selection, estimates, or commission are finalised.

Before uploading any third-party winner file, download the Post-Sale Data CSV from your auction and compare it against the platform file. Resolve any hammer price discrepancies in Bidsquare FIRST. The import will overwrite your existing lot data.

Maintain a permanent clearance event
Create one permanent Buy-Now or Timed event as an ongoing clearance catalog. After every auction, batch-move unsold lots into it immediately. Items are available 24/7, consignors see items move to an active listing, and you never need to create a new clearance event for each batch.

Export the Audit Log immediately when a dispute arises
Every auction has an Audit Log tab recording a complete timestamped history of every bid, every correction, and every action. Export it immediately when any issue arises โ€” before anything is changed. This is your primary evidence in chargeback investigations and bid disputes.

Post-sale summary first, formal settlement second
Send the Post-Sale Reminder email (Auctions โ†’ Consignment tab โ†’ Batch Actions โ†’ Post-Sale Reminder) immediately after the sale closes. Then generate the formal settlement once buyer payments are confirmed. This two-stage approach dramatically reduces 'what happened at my auction?' calls.

Auctions โ†’ [closed auction] โ†’ Summary tab shows platform breakdown, hammer vs estimates, reserve stats, absentee bid breakdown, bidder activity, and invoice status. Screenshot or export it immediately after closing โ€” this becomes your post-sale report for internal reviews and stakeholder presentations.
